For retail, hospital and long-term-care pharmacies

Pharmacy scheduling software for pharmacists and technicians

Pharmacy scheduling software builds the staff rota for a pharmacy: a pharmacist on duty for every hour the pharmacy is open, technicians alongside in the numbers your state board of pharmacy allows per pharmacist, and nobody on the schedule whose licence, registration or certification has lapsed. MedAligna does that for retail, hospital and long-term-care pharmacies, per location, from $99 a month. It schedules staff; it does not dispense, bill claims or hold patient records.

From $99/month per location · No sales call · No card to start

At a glance

  • Pharmacy scheduling software, as this page means it, puts pharmacists and technicians on the pharmacy's open hours and checks the rota against your own coverage rules before anyone is told.
  • Store hours, every day: a pharmacy that tells us it is one gets the planner opened on 09:00–21:00, seven days a week, with Pharmacist and Pharmacy technician as the example roles. Any hours and days can be typed.
  • A pharmacist on every shift is a minimum per role on Coverage. The technician ratio is a supervision ratio you type — one pharmacist to at most N technicians — and Coverage lists every stretch of the week, to the minute, where the people assigned break it.
  • Pharmacist licence, technician registration, CPhT (PTCB), ExCPT and intern registration are in the credential library. Require one for a role and a lapsed or missing one blocks assignment.
  • Closed days — Christmas, a store's refit week — keep the planner from creating shifts on them.
  • $99/month for one location and up to 30 staff, $149 for up to 75. Fourteen days free, no card.

How do you keep a pharmacist on duty for every open hour?

Plan the pharmacy's hours as shifts, and set a minimum of one Pharmacist on each. Coverage shows any shift below it, and the supervision check catches the hours in between.

Plan a week builds the week from your store hours: name the shift, set the hours, tick the days, and one shift per role per open day is created, with the exact count shown before anything is written. A pharmacy that opens 09:00–21:00 every day and staffs it with two overlapping pharmacists types two shifts. On Coverage, a minimum of one Pharmacist per shift turns any shift without one into a named shortfall.

Shifts do not always tell the whole story, because pharmacists and technicians are staggered. That is what the supervision check below is for: it measures who is actually on at each minute, so a technician working the last hour after the pharmacist has gone home is listed as on duty with no pharmacist, even though every shift on its own looks covered.

How does it handle the pharmacist-to-technician ratio?

Sat · 5:00–9:00 PM · 4 technicians, 1 pharmacist

You type the ratio your state board sets — one pharmacist to at most N technicians — and Coverage lists every stretch of the week where the people assigned exceed it.

Technician ratios are set state by state and change by statute, so the product carries no state's number and does not guess one. An owner or admin sets the ratio on Coverage — Pharmacist to at most three Pharmacy technicians, for example — and from then on the week is checked on the real hours each person is assigned, not shift by shift: a stagger that puts four technicians under one pharmacist from 17:00 to 21:00 is listed with its times and how many pharmacists that stretch needs, always rounded up.

It is a check, not a refusal. Nobody is blocked from a shift because the ratio is over; the scheduler sees the stretch and fixes it, by moving a technician or adding a pharmacist. The same tool holds any role-under-role ratio you keep, such as interns per pharmacist where your board limits them.

What happens when a technician's registration or certification lapses?

If the role requires it, the person cannot be put on a shift that ends after the expiry date, and the schedule says which credential and when.

The credential library carries the pharmacist licence, the state pharmacy technician registration or licence, CPhT certification from the Pharmacy Technician Certification Board, ExCPT certification from the NHA and pharmacy intern registration, beside BLS, TB screening and the other health records already there. On Team credentials you say which role requires which; each person keeps their own number and expiry date in their wallet on their phone, and the employer's copy follows it.

Expiring credentials are counted on the dashboard and on Team credentials ahead of time. PTCB recertifies CPhTs every two years with at least 20 hours of continuing education; state registrations renew on the state's own cycle, and the expiry on each record is the one that counts.

Does it work for a hospital or long-term-care pharmacy that never closes?

Yes. A 24-hour pharmacy plans two twelves or three eights a day instead of store hours, and the same minimums and ratio checks apply through the night.

Overnight shifts are filed under the day they start and counted on real elapsed time, so a 19:00–07:00 night is 13 hours the night the clocks go back, in the overtime warning and in the hours export to your payroll provider. Rest between shifts, weekly hours and time off are checked for every assignment, and staff swap shifts, claim open ones and request time off from their phones with you approving.

Which weeks does a pharmacy actually struggle with?

The evening stagger

Two technicians start at 12:30 to cover the afternoon rush, the second pharmacist leaves at 17:00, and for four hours one pharmacist has four technicians — which nobody notices because every shift on its own looks fine.

Coverage lists Saturday 5:00–9:00 PM: four technicians on with one pharmacist, and at your 1:3 that needs two.

A pharmacist calls in sick

The store cannot open its pharmacy without one, and the manager is ringing round from memory to find a pharmacist who is free and licensed in the state.

The shift goes out as open to every pharmacist who could take it — right role, licence current, rest and hours clear — and the first to claim it is checked before it lands.

A technician's registration expired last month

The renewal date was in a spreadsheet nobody opened, and the technician has been working unregistered for three weeks.

Technician registration is required for the technician role. The dashboard counted it as expiring, and from the day it lapsed the technician could not be assigned until the renewal was recorded.

How to choose pharmacy scheduling software

The questions the vendor pages on this subject raise, answered for this product.

01Does it keep a pharmacist on every open hour?

A pharmacy without a pharmacist on duty cannot dispense, and a rota is where that gap starts.

Where MedAligna lands: A minimum of one Pharmacist per shift on Coverage, and a minute-by-minute check that names any time a technician is on with no pharmacist.

02Does it check the technician ratio?

Ratios are per pharmacist on duty, and staggered shifts break them in the hours nobody looks at.

Where MedAligna lands: You type your board's ratio; every stretch of the week where the people assigned exceed it is listed with its times. No state figure is assumed.

03Does it track licences, registrations and certifications, and block a lapsed one?

A report read after the rota is published is not a control.

Where MedAligna lands: Pharmacist licence, technician registration, CPhT, ExCPT and intern registration are in the library; a required one that is missing or expired blocks the assignment.

04Can staff swap shifts and request time off from their phones?

A swap agreed at the counter and never written down is how a store opens without a pharmacist.

Where MedAligna lands: Yes: swaps, open-shift claims and time off from the phone, each checked before it lands, with you approving.

05Does it export hours to payroll?

Retyping a month of shifts into payroll is where hours go missing.

Where MedAligna lands: Hours export in Gusto's and ADP's import layouts, and as a plain CSV. We never run payroll itself.

What do PIC, CPhT and a technician ratio mean?

Pharmacist in charge (PIC)
The pharmacist a state board holds responsible for a pharmacy's compliance; most boards require one to be designated for each licensed pharmacy.
Technician ratio
The most pharmacy technicians one pharmacist on duty may supervise, set by each state's board of pharmacy.
CPhT
Certified Pharmacy Technician, the credential awarded by the Pharmacy Technician Certification Board (PTCB) and renewed every two years.
ExCPT
The pharmacy technician certification awarded by the National Healthcareer Association (NHA).
Technician registration
The state's own record that a technician may work in a pharmacy there; called a licence or a registration depending on the state.

Questions people actually ask

Does it enforce my state's pharmacist-to-technician ratio?
It checks the ratio you set, every minute of the week, and lists each stretch where the people assigned exceed it. You type the ratio your board sets; we do not supply state figures, because they differ by state and change. It does not refuse a shift over it — the scheduler fixes the stretch.
How do I make sure a pharmacist is always on duty?
Set a minimum of one Pharmacist on each shift on Coverage, and set a supervision ratio. Coverage then names any shift without a pharmacist and any stretch where a technician is on with no pharmacist at all.
Which pharmacy credentials does it track?
Pharmacist licence, pharmacy technician registration or licence, CPhT (PTCB), ExCPT (NHA) and pharmacy intern registration, plus BLS and any type you add yourself. A required one that is missing or expired before the shift ends blocks the assignment.
Is this pharmacy management software?
No. It schedules the pharmacy's staff and exports their hours. It does not dispense, manage inventory, bill claims or hold patient records, and it sits beside the pharmacy system you already use.
What does pharmacy scheduling software cost here?
$99 per month for one location with up to 30 staff, $149 for up to 75. Per location, not per employee. Fourteen-day trial with every feature, no card.
