Terms of service

What MedAligna is
MedAligna is scheduling and workforce-compliance software, provided as a subscription. You use it to build rosters, track credentials, manage swaps and time off, and record hours.
These terms are between MedAligna and the organisation that subscribes. Individual staff members use the product under their employer's account.
What MedAligna is not
We are not a payroll processor. We capture hours and export them; your payroll provider calculates and pays wages, withholds and files taxes. Figures MedAligna shows about labour cost are estimates for budgeting and are not wage calculations or pay statements.
We are not a staffing agency and we do not place clinicians. We do not employ your staff, we do not pay them, and we are not a party to their employment.
We are not a substitute for your own compliance judgement. MedAligna surfaces the facts (an expiry date, a possible match on a federal exclusion list, a ratio shortfall) and refuses assignments where you have told it to. The employment decisions that follow are yours.
Your responsibilities
You are responsible for the accuracy of what you enter: staff records, credentials, coverage requirements and rules. MedAligna enforces the rules you configure, and it cannot enforce a rule you have not told it about.
You are responsible for verifying credentials. A document uploaded to MedAligna is not a verification, and importing a credential into your organisation's records does not mark it verified: you must still check it, because that duty is yours and it does not transfer to us.
You are responsible for keeping account credentials secure, and for the actions taken under accounts you grant.
Trials, billing and what happens if you stop paying
Every plan starts with a 14-day free trial. No card is required to begin.
Subscriptions are per location, per month, at the prices published on our pricing page. Billing is month to month unless you choose annual. You may cancel at any time from inside the application.
If a subscription lapses or is cancelled, your account becomes read-only. Nothing is deleted. You retain access to view and export everything, indefinitely. We will not hold a schedule hostage over a billing problem; a billing failure must never become a staffing failure.
Your data
Your data is yours. You can export staff, schedules, credentials and hours to CSV or JSON at any time, including after cancellation.
We do not sell your data, share it with advertisers, or use it to train models for third parties.
Credential documents uploaded by an individual belong to that individual. Their employer may read them; the employer cannot alter or delete them.
Availability
We work hard to keep MedAligna running, because a scheduling outage is a real operational problem rather than an inconvenience. We do not, however, offer a contractual uptime guarantee on the standard plans, and we are not going to pretend otherwise in a document you might rely on.

Limitation of liability
To the fullest extent permitted by law, MedAligna's aggregate liability arising out of or relating to the service is limited to the amounts you paid us in the twelve months preceding the claim.
MedAligna is a tool that assists with compliance. It is not a guarantee of compliance, and it does not assume your regulatory obligations, including but not limited to licensure verification, exclusion screening decisions, staffing ratios, duty-hour limits, and wage and hour law.
Acceptable use
Do not use MedAligna to store patient medical records. It is not built for it, it is not the product, and doing so would place protected health information somewhere it was not designed to be.
Do not attempt to access another organisation's data, probe the service for vulnerabilities without telling us, or use the service unlawfully. If you find a security issue, write to us; we would rather hear from you than from someone else.
Changes to these terms
If we change these terms materially, we will tell you before the change takes effect, and the changelog will say so. We will not quietly rewrite the terms under you.
