Enrolling nurses with Nursys e-Notify

Nursys e-Notify is a free service from the National Council of State Boards of Nursing. Enrol a nurse once, and the boards tell you when her license lapses, renews, or picks up a disciplinary action. In this video you'll collect the details e-Notify needs, download the enrolment file, and learn what to do when a nurse leaves. Open Credentials, then Team credentials, and follow Enrol your nurses with Nursys. Only an owner or an admin can open it. Participating boards of nursing push license status and public discipline to e-Notify as they enter it. You need your own free e-Notify institution account. MedAligna produces the enrolment file in the exact format e-Notify reads, you upload it there, and the notices arrive in your institution's inbox. We never hold your Nursys login, and we never send anything to NCSBN for you. The file is the whole integration. e-Notify asks for the last four digits of a social security number, so that's all we store. There's nowhere to type a whole one, or a full date of birth, and the database refuses anything but exactly four digits. Every active person is listed. Each says either Ready to enrol, or Still needs, and then exactly what's missing. Maya has an RN license in her wallet, so her license number and state are already here. She still needs her last four, birth year and home address. Luis has no nursing license on file yet: e-Notify only enrols RN, PN and advanced practice licenses, so he needs one in his wallet first. Open Maya's row with Add details. Type the last four digits of her social security number, her birth year, and her home address. The rest is optional. An NCSBN ID matters for a nurse licensed in several states, because with it Nursys watches every license she holds. Tick the practice settings she works in, here medical surgical and geriatrics, and choose whether e-Notify sends license change notifications and expiry reminders to her. Then press Save. Saved. Once the four digits are stored, they're never sent back to a browser: the form only says they're stored. The activity log records that somebody's details were set and by whom, but never the values themselves. A scheduler can't see any of this page. As soon as one nurse is ready, the count goes up and the download appears. Press Download the enrolment file. Only complete rows go in, because e-Notify would reject a partial row with an error about a column position, which tells you nothing about which nurse. Then sign in to your own e-Notify institution account and upload that file. Inside it are exactly the twenty-four fields NCSBN's specification asks for, in a fixed order, with no header row. One of them is a record ID, which is our staff ID, so every notice that comes back can be matched to the right nurse without guessing from a name. Preview it in Excel gives you the same rows with column headings on top, so you can check them. Don't upload the preview: e-Notify reads by position, and it would take the headings for a nurse. When a notice arrives, nothing in MedAligna changes automatically. What decides whether a nurse can be scheduled is the license in her own wallet. When e-Notify tells you a license lapsed or renewed, the expiry is updated there, your copy follows automatically, and a license that ends before a shift does blocks that booking. When a nurse leaves, open her row and press Delete these details. That removes our copy of her address and the four digits. It doesn't unenrol her at Nursys, which is a separate step: download a removal file from the link above, and upload that to e-Notify. That's Nursys e-Notify.
