Closing a pay period
Approving hours so they stop moving.
For owners, admins and schedulers
Read the transcript
Before hours go to payroll, somebody checks them and then fixes them in place. In this video you'll review a day's punches, correct one with a reason, open and close a pay period so the hours stop moving, see what happens when someone is still clocked in, and reopen a period the right way. Open Time, then Time review. It lists the punches for one day, with each person's clock-in and clock-out, their role, and the hours, shown in each site's own time zone. Today, Luis is on the clock right now, so his punch is still open. Use the Day picker to look at an earlier day. Here's Sunday, October 11, when Maya worked a day shift. She clocked in at six fifty-four and out at twelve minutes past seven, with a thirty-minute break. Say Maya actually stayed until seven thirty to finish a handover. Press Correct, change the clock-out time, and give a reason. The reason is required: a correction is recorded with your name and why, and the original is never lost. Below the punches is Pay periods. Press Open a pay period, choose the site, and enter your payroll cycle's dates. Use the dates your payroll provider expects, which aren't always the same as your overtime week. Then press Open period. The period is open: you've seen the punches, and corrected what needed it. Now press Close this period. Every punch inside those dates is now fixed. Nothing can be edited, added or clocked in that range, including from the shared tablet, so the hours you send to payroll can't change underneath you. What if someone is still on the clock inside the dates you're closing? Let's open a period for this week, while Luis is working, and try to close it. It refuses, and says why: one person is still clocked in inside those dates. An open punch has no hours on it yet, so closing would lock in a shift with nothing recorded. Close the period once everyone has clocked out. If a closed period turns out to be wrong, you can reopen it, and you have to say why. Press Reopen, type the reason, and press Reopen again. The reason stays with the period, because reopening changes a number somebody may already have been paid on. Fix what needs fixing, then close it again. That's the pay period: review the punches and correct them with a reason, open the period with your payroll dates, and close it so the hours stop moving. If someone's still clocked in, you're told. And if you must reopen, the reason is kept. Next, send those hours to payroll from Exports.

What closing does
Open a period, review the punches, then close it. After that nothing inside those dates can be edited, added or clocked, including from the shared tablet, which cannot slip past it either.
If somebody is still clocked in, you are told rather than silently locking an open punch.
Reopening
You can reopen a period, and you have to say why. The reason is kept with it, because reopening changes a number somebody has already been paid on.
