Seeing who is short: the Coverage screen

Required against actual for the next seven days, once you say what 'required' is.

For owners, admins and schedulers

Why every number is a dash at first

Coverage compares the people assigned with the people a shift needs, for the seven days from today. Until you tell it what a shift needs, every cell reads '—' and counts as unmeasured, never as covered. The schedule itself already shows every shift with an open place against the headcount you gave it, so you can ignore this screen until you want a standing minimum.

Two ways to say what a shift needs

A minimum per shift: 'never fewer than 2 of this role on the day shift', optionally on one weekday only. Set once, no daily numbers, on every plan — the right choice for a clinic, a front desk or a call rota. Set it under 'Minimums on this unit', lower down the same screen (owner or admin). Setting a minimum to zero removes it.

A census and a ratio, for units with beds: record how many people are on the unit today, and how many each member of staff can take. Acuity weights the census, and where a ratio and a minimum both apply the stricter wins. Ratios and acuity are on the Pro plan and in every trial.

  1. Open Coverage (owner, admin or scheduler).
  2. If you run more than one unit, pick it at the top.
  3. Set a minimum per shift, or record a census and add a ratio.
  4. Read the table: '3 / 4, short 1' is a gap; the four tiles above it sum up the week.

What it leaves out

Shifts with no shift type and call carried on a service are not counted, and the screen says how many. Staffing agencies, if you list them under Settings → Agencies, appear at the bottom: each understaffed shift can be emailed to all of them at once, and they reply to you and bill you directly.

In the app this lives at /app/coverage.
